What Groundwork does

Six things, done well. Here is each one with a look at the screen you would actually use.

Generate

Your contract, word for word

During setup we take the subcontract you use today and build it into Groundwork: the cover page with line items, the retention rate, the plans and specs line, and every clause on the terms page.

  • Line items with cost code, description of work, and amount
  • Retention rate and total calculated for you
  • Your full terms page attached automatically
  • Start from the built‑in Texas template if you do not have your own

Every open contract on one screen

Each subcontract has a status: draft, sent, or signed. Filter by job to see who still owes you a signature before the sub mobilizes.

  • Status per contract, grouped by project
  • Sent date so you know who to call
  • Paperwork problems flagged in the same list

COIs and W‑9s attached to the sub

Upload the certificate of insurance and W‑9 once, on the subcontractor's record. Every new contract for that sub checks it. Expired or missing paperwork shows up as a warning, not a surprise on site.

  • Insurance certificates with expiration dates
  • W‑9s and signed contracts stored as PDFs
  • One place to look when the owner's rep asks

The small things that make it usable every day

Unlimited users

Everyone in the office logs in with their own account and sees the same contracts. No sharing passwords, no per‑seat bill.

Print, PDF, CSV

Print a contract for wet signatures, save it as a PDF to email, or export every subcontract to a spreadsheet for your bookkeeper.

Your data is yours

Download a full backup of every contract and file any time. If you ever leave, you take everything with you.

QBWorks alongside QuickBooks. Export every subcontract as a CSV your bookkeeper can bring into QuickBooks for payables and job costing. A direct connection is on the list; tell us if you need it.
Being upfront

What it doesn't do

We would rather tell you now than on the demo call.

It is not accounting software.

Groundwork does not do payables, job costing, or invoicing. It writes and tracks the subcontract. Your bookkeeper keeps QuickBooks.

It is not an e‑signature service.

You can print for signatures or send the PDF through DocuSign or whatever you already use, then mark it signed in Groundwork.

It is not a bidding or estimating tool.

You bring the scope and the number. Groundwork turns them into the contract.

It is not a project management app.

No schedules, no daily logs, no RFIs. Just the paperwork between you and your subs.

Want to see it with your own contract?

Send us the subcontract you use today. We will load it into Groundwork before the call so the demo is on your paperwork, not ours.
